Cash Customer Defaults/ Charge Customer Defaults

group_128_hotThe Cash and Charge Customer Default functions allow you to edit the defaults that appear when creating new customers.

The Cash Customer Defaults or Charge Customer Defaults can be accessed from:

Store Center- Setup

Address

Area Code. Enter the most common phone area code for your city.

Terms

Type. The type for a Credit customer is “50”. The type for a Cash customer is “0”.

Discount %. Percentage discount the customer will receive if they pay within the specified number of days.

Days. The number of days the customer has to pay in order to receive the percentage discount specified. Maximum is 999. This is informational only. The system does not use this to calculate a discount for the customer.

Credit Information

Limit.  Default Credit Limit.

Code.  Code and message.

Message.  Use the drop down to select one of the credit messages that will appear on the screen when the customer is accessed.  If you select NORENT, then a password will need to be provided to rent to this customer.

Miscellaneous

Statement/Invoice. Select from the drop-down box  the default settings for statements/invoices. Select “None” if the customer does not receive statements or invoices. Select “Statements Only” if the customer receives statements but not invoices. Select “Invoices Only” if the customer receives invoices but not statements. Select “Print Both” if the customer receives a printed copy of both, “Fax Both” if the customer receives a faxed copy of both or “Email Both” if the customer receives an emailed copy of both.

Ship-To. This is used by the system to determine whether or not the customer has multiple Ship-To addresses, or whether they need a Job Address or Either during contract entry.

Apply Finance Charges?. Check the box if you want the customer to be subject to finance charges.

Contract Processing

Salesperson. This is the number of the salesperson responsible for this customer. There is a salesperson report that provides information about the accounts by salesperson. The salesperson number can be used with ‘Just Ask’ or ‘Access’ to report on the customer account.

Rate Calculation Code. Enter the Customer Rate Calculation Code. This code MUST be predefined in your custom rate calculation program.

Alternate Rate Code. Enter the alternate equipment rate code (1-99) for this customer. The ALT code is used to determine which alternate equipment rates to charge based on the rates defined in the Alternate Equipment Rates Maintenance screen.

Inventory Discount Code. Enter an Inventory discount code 0-99. This code is used in conjunction with the Price Code in the Inventory record. The combination of the two codes corresponds to a discount rate in the Discount Matrix.

Rental Discount Code. Enter a Rental discount code 0-99. This code is used in conjunction with the Price Code in the Equipment records. The combination of the two codes corresponds to a discount rate in the Discount Matrix.

Parts Discount Code.  Enter a Parts discount code 0-99. This code is used in conjunction with the Price Code in the Parts records. The combination of the two codes corresponds to a discount rate in the Discount Matrix.

Require PO#?.  Check if the PO# must be entered on the contract.

Require Job#?.  Check if the Job# must be entered on the contract.

Require Agent?.  Check if one of the Agents set up on the Information tab must be selected on the contract.

Print Rates?.  Check if rates are printed on the contract by default. This can be overridden during the contract print.

Print Extensions?.  Check if extended prices are printed on the contract by default. This can be overridden during the contract print.

Print Totals?.  Check if totals are printed on the contract by default. This can be overridden during the contract print.

Custom Entries. Optional fields. Enter anything you wish to include.

Taxes & Fees

Tax Jurisdiction. Select from the drop-down box which tax jurisdiction to impose on the customer.

Damage Waiver?. Check if you want the customer to be subject to Damage Waivers.

Sales. Check if you want the customer to be subject to Sales tax.

Use. Check if you want the customer to be subject to Use tax.

ERF. Check if you want the customer to be subject to ERF (environmental recovery fee) tax.

Tax4. Check if you want the customer to be subject to Tax4 tax.
